Managed IT onboarding starts with a clear handoff.

By B11 Tech Solutions

If technology support depends on one person's memory, the first improvement is often documentation, not new equipment. Managed IT onboarding creates a shared understanding of what you have, who owns it, and what needs attention first.

A Seattle office and a Bothell professional working from a dedicated home office may need different support arrangements. Both benefit from a clear scope, named contacts, and a safe transfer of access.

Establish ownership before sharing access.

Identify the owners of the domain, email tenant, internet account, network equipment, backup service, and important applications. Confirm where renewal notices go and who can recover each account. An account that works today is not necessarily one the organization can recover tomorrow.

Do not paste passwords or recovery codes into an inquiry form. Agree on a secure handoff method and use individual, appropriately scoped access where supported. Document which permissions the support provider actually needs.

Review administrator protection.

Microsoft recommends particular care for administrator accounts and describes multifactor authentication and role selection in its security guidance. A review should confirm account protection and recovery arrangements rather than assume a cloud subscription makes every setting appropriate. See Microsoft's administrator-account security guidance.

Separate routine work from privileged administration. Before removing an old provider's access, verify that the organization has working ownership and recovery options and that the handoff is complete. Avoid locking everyone out in the name of cleaning up.

Prioritize by operational impact.

A useful baseline covers devices, software, network layout, update status, and the systems that matter most. Ask what an interruption would stop: phone calls, scheduling, point of sale, access to project files, or all of them.

  • Name the systems needing attention first and the people using them.
  • Record known issues separately from confirmed failures.
  • Review backup coverage, retention, and ownership.
  • Agree on a safe restoration test instead of relying only on backup notifications.
  • Document support hours, escalation contacts, and the approved scope.

Leave with a usable plan.

The outcome should be a prioritized list, not a surprise replacement proposal for every device. Distinguish immediate risks, routine maintenance, and future improvements. Assign an owner and an agreed next step; timelines and service commitments belong in the actual agreement.
